Estimating Administrative Assistant
Upon employment I restructured current subcontractor database into bidfax for
sub solicitation, plan and addenda distribution. Tracking of department expenses
which lead to the savings of thousands of dollars per year by switching to an on
line plan service. I was instrumental in the research, purchase, training,
transfer of data, and implementation of iSqFt on line plan software. I
reconfigured the sub database in iSqFt to enable the estimators to query specific
spec sections and subs as required for bid solicitation. I designed and put
together proposals and or questionnaires for customers such as Wal-Mart, Kroger,
and Lowe’s. Performance of all administrative duties leading up to bid day
including assurance of sub coverage, bid bond acquisition, preparation of bid
forms, and all paperwork associated with HUB requirements. I acted as admin to
VP of Estimating and five estimators and frequently assisted marketing
department. Implemented and maintained post-project statistics by recording all
subcontractor and competitor bid results. I reported directly to VP of
Estimating.
Nortel Networks – Richardson, Texas
September 2000 to December 2001
Call Coordinator for Global Customer Care Services (Technical Support Division)
We utilized SMART and Clarify tracking software on a daily basis to assist
distributors in opening technical trouble tickets. This consists of verifying
all distributor information, determining if a PO is required for billing
purposes, entering the technical information, prioritizing severity of problem,
and providing technical assistance myself when possible. Ensure customers
received technical support by contacting the proper department/Engineer best
suited for that particular product and technical problem. I performed remote
installation of software patches on PBX switches. Daily use of intranet and
internet. This position required exceptional customer service skills. I was
able to initiate a process to recover funds for tech support that were never
billed.
DalMac Construction Company – Richardson, Texas
June 96 to September 2000
Estimating Administrative Assistant – Primary responsibilities included
reporting prospective projects to bid using Dodge Dataline and CMD. Once a
project was decided upon, from there I gathered the necessary information to
obtain the bid bond, chose the subcontractor list according to specs. Sent out
invitations to bid using Bidfax and monitored the response, not only for trade
coverage but also to identify amount of plans to be ordered staying within a set
budget. I handled all plan distribution. I researched cost and availability of
specialty items using Sweets Catalog on-line. This position requires heavy
interaction with Subcontractors and Architects. I researched and purchased
software programs to best fit our business. Other responsibilities included
maintenance of bid schedules and pre-bid meeting schedules. I was responsible
for all maintenance of subcontractor databases and city building permit schedule
catalog, and all administrative duties for six Estimators and V.P. of Estimating.
Designed, built, and maintained databases to track the following: hours and cost
by project, (for estimating only) competitor analysis, subcontractor
qualifications, post-project subcontractor performance evaluations, subcontractor
bid results, and competitor bid results. All travel arrangements for Management
and Estimators. I designed and built for Risk Management Department an automated
system to auto alert them and our subs when insurance certificates were 30 days
from expiration. My assistance on bid days was one of the most important aspects
of this position.
l conducted training sessions for the Estimating administrative staff in our
Houston and Austin offices. I was captain of our Annual Hearts and Hammers
project for 4 years. The owner of the company bestowed 4 awards per year.
Nominees were submitted by upper management. I was nominated every year in at
least 2 categories every year and was awarded the “behind the scenes” award. I
was given the rewarding opportunity of being captain of the Hearts & Hammers
effort every year.
Trigon General Contractors – Richardson, Texas
February 95 to June 96
Office Manager – Assisted General Manager in bidding projects for D.I.S.D. I
was responsible for researching all l MWBE requirements and documentation. All
secretarial and accounting duties for 5 schools simultaneously. Designed
automated database system to track RFI’s, RFP’s, / logs, Owner/Subcontractor
Change Orders, subcontractor insurance requirements, subcontractor submittals,
warranty information, field personnel hours, and overhead expenses. Also, I
handled all aspects of project close out including punch-lists, and all
collection and compilation of warranty manuals. Handled all travel and extended
stay lodging for superintendents.
DSC Communications Corporation – Customer Service Division, (now Alcatel) –
Plano, Texas
September 94 to January 95
Consultant – Trained Subcontracting Department on current methods and procedures
including dBase IV. I wrote training manual.
December 92 to June 94 – (DSC)
Subcontract Database Administrator – Responsible for recreating through
automation new tracking procedures required to measure subcontract award
activity, invoice volume, cost overruns, and subcontractor competitive bid
analysis. Evolved vendor evaluation process and built vendor certification
database. Designed and implemented automated Blanket Purchase Order process.
Responsible for all administrative aspects for an average of 95 active projects
concurrently, totaling 3.5 M quarterly. I reported financial activity in
presentation form monthly, quarterly, and yearly to Senior Management and
Corporate Accounting. I served on the task team to automate entire Customer
Service Division. Alcatel continues to use this system as of this date.
October 88 to December 92 – (DSC)
Installation Planning Database Administrator – Primary responsibility was design
and maintenance of master project database, which included writing advanced
queries to report customer statistics, product sales analysis, etc. This
database and the subcontracting database that I designed are still being used by
Alcatel as of this 2004. I was responsible for the accuracy of revenue and
absorption dollars exceeding 18M annually. I performed all administrative
support to Department Director and five Project Planners including presentations,
spreadsheets, special projects, calendars, and meeting minutes.
Rogers Construction Company – Dallas, Texas
August 85 to October 88
Project Secretary – Responsible for all office payables, Maintenance of all
project files from execution to closeout. Provided support to VP of Dallas
Division, six Project Managers, and an Architect. Preparation of punch lists
and warranty manuals. I also continued job site secretarial duties for closed
out projects. This role had heavy customer service interaction, both internally
and externally. I also advise new tenants of proper contacts to resolve problems
inherent with new buildings.
August 84 to August 85
Receptionist – Busy, high profile front desk. Answered 16 line phone system,
handled high volume phone activity on bid days. I greeted all visitors. I
processed all incoming / outgoing mail, and weekly payroll and handled all
incoming customer service calls prioritizing and routing accordingly.
